How to Print 1099-NEC (Nonemployee Compensation) Forms for QuickBooks

As a QuickBooks user, you might already know by now, that in order to prepare 1099-NEC forms with QB desktop you will need version 2020 and above. So, if you have QuickBooks 2019, 2018, 2017 or before and want to print or e-File your forms then you have to do it by hand or find a software that does that for you. In this brief tutorial, we show you how to prepare 1099-NEC forms using W2 Mate 2020 software and QuickBooks. You can first import your data from QB, then prepare the forms. You can also type the data manually inside W2 Mate if you do not have many recipients you want to prepare the forms for.

Reminder: These steps apply to QuickBooks Enterprise, Pro, Premier, or Accountant for the years 2020, 2019, 2018, 2017, 2016, 2015, 2014, 2013, 2012 and 2011.

These steps do not apply to QB Online.

Step 2: Make sure both QB and W2 Mate are open. From the top menu inside W2 Mate, select “Import Data > From QuickBooks”. Follow on the screen instructions so W2 Mate can connect to QB and start communicating with the currently open company. The 1099-NEC recipients are expected to be saved as vendors inside QB (not as employees or customers).

Step 3: Now W2 Mate will read the data from QB and allow you to preview / edit your 1099-NEC forms before importing. If all is good, click the “Finish” button and the forms will be imported.

Step 4: Review the 1099-NEC forms inside W2 Mate, especially the recipients’ tax Ids and the amounts reported in Box 1 (Nonemployee compensation).

Step 5: If you want to edit your data, change amounts, or add new forms you will be able to do that from the 1099-NEC screen.

Step 6: If everything looks good you can print your data on pre-printed 1099-NEC forms or blank paper.

Step 7: Depending on what capabilities you have enabled inside W2 Mate, you can also e-File your forms or create PDF documents to email to the contractors \ vendors.

Step 8: If filing on paper, go ahead and review the 1096 form and print along with the red copy A that needs to be mailed to the federal government.
